These Terms & Conditions shall apply to all quotations, confirmations and tour arrangements made by Japan Tours Team Sdn Bhd (“the Company”).

1. Booking & Confirmation

1.1 A booking shall only be confirmed upon receipt of the required deposit.

1.2 The Company reserves the right to cancel any tentative booking without prior notice if payment is not received within the stipulated time.

1.3 The person making the booking warrants that he/she has authority to accept these Terms & Conditions on behalf of all participants.

2. Payment Terms

2.1 Confirmation Deposit: RM500 (non-refundable) payable within three (3) days of acceptance of quotation.

2.2 50% of Total Package Price: payable forty-five (45) days prior to departure.

2.3 Balance Payment: payable fourteen (14) days prior to departure.

2.4 Failure to make payment on time shall entitle the Company to cancel the booking and impose cancellation charges.

3. Price Validity & Currency Fluctuation

3.1 Prices are valid for the period stated in the quotation only.

3.2 Prices are based on prevailing exchange rates and supplier costs at the time of quotation.

3.3 The Company reserves the right to revise prices due to currency fluctuation, fuel surcharge, government taxes, or supplier price revision prior to receipt of full payment.

3.4 Once full payment is received, the price shall be deemed confirmed and no further adjustment shall apply.

4. Package Inclusions & Exclusions

4.1 Only services expressly stated under “Include” on the package page or in your quotation are included.

4.2 All other services not specifically mentioned are excluded and shall be borne by the Client.

5. Cancellation Policy

5.1 Cancellation charges shall apply as follows:

  • More than 45 days before departure: deposit forfeited
  • 30 to 45 days before departure: 50% of total package price
  • 15 to 29 days before departure: 75% of total package price
  • 14 days or less before departure: 100% of total package price

5.2 Any reduction in group size within two (2) months prior to departure may result in price revision.

5.3 Replacement of participant is allowed subject to availability and additional cost (if any).

6. No Refund for Unused Services

6.1 No refund shall be given for:

  • Missed transfers
  • Missed tours
  • Unused accommodation
  • Voluntary early departure
  • No-show
  • Personal reasons
  • Flight delay or schedule change

6.2 All confirmed services are chargeable once booked.

7. Minimum Participation

If the tour is based on a minimum number of participants and such minimum is not met, the Company reserves the right to revise pricing or cancel the tour with notice.

8. Accommodation & Substitution

8.1 Accommodation is subject to availability at time of confirmation.

8.2 The Company reserves the right to substitute accommodation of similar category without prior notice due to operational requirements.

9. Travel Insurance (Mandatory)

9.1 The Client must obtain comprehensive travel insurance covering medical, accident, cancellation, delay and baggage loss.

9.2 The Company shall not be liable for any medical or repatriation costs.

9.3 Failure to obtain insurance shall be at the Client’s sole risk.

10. Force Majeure

10.1 The Company shall not be liable for failure or delay in performance due to events beyond its reasonable control including but not limited to:

  • Natural disasters
  • Severe weather conditions
  • Government restrictions
  • Airline disruption
  • Pandemics
  • Acts of God

10.2 Any additional cost arising shall be borne by the Client.

11. Indemnity

11.1 The Client agrees to indemnify and hold harmless the Company, its directors, employees and agents against any claims, losses, damages or legal costs arising from:

  • Breach of these Terms
  • Negligence or misconduct of the Client
  • Violation of local laws
  • Claims by third parties arising from the Client’s conduct

11.2 This clause shall survive completion of the tour.

12. Limitation of Liability

12.1 The Company acts as organiser of ground arrangements only and shall not be liable for acts or omissions of third-party providers.

12.2 The Company’s total liability shall not exceed the total package price paid.

12.3 The Company shall not be liable for indirect or consequential loss, loss of enjoyment, or personal belongings.

12.4 Nothing shall exclude liability for death or personal injury caused by proven gross negligence of the Company.

13. Waiver & Assumption of Risk

13.1 The Client acknowledges inherent travel risks and voluntarily assumes such risks.

13.2 The Client waives and releases the Company from any claims except those arising from proven gross negligence or wilful misconduct.

14. Non-Disparagement

14.1 The Client agrees not to publish defamatory or misleading statements regarding the Company without first allowing the Company reasonable opportunity to resolve any dispute amicably.

15. Data Protection

15.1 The Company may collect and process personal data for purposes of booking and tour arrangements in accordance with applicable data protection laws. Please see our Privacy Policy for details.

16. Governing Law & Jurisdiction

16.1 These Terms shall be governed by the laws of Malaysia.

16.2 Any dispute shall be subject to the exclusive jurisdiction of the Courts of Malaysia.
